Ofisx Inventory

Small warehouse inventory app or a WMS? How to choose (2026)

Ofisx Inventory Management (“Inventory Management: Barcode” on Google Play, “Inventory Management - Ofisx” on the App Store) is a warehouse and stock app for businesses with one stockroom or warehouse: goods-in (purchases) and goods-out (sales and returns) are booked by scanning barcodes with the phone camera or a USB/Bluetooth barcode scanner on the web, a stock count screen compares counted and recorded quantities and applies the difference with one tap, a low-stock alert warns when an item drops below its minimum, every product has a movement history, and each employee gets only the sections they are allowed to use (for example stock counting only). It runs on Android, iPhone and the web with one account; download and sign-up are free. It has no bin or location field, no lot or expiry tracking, no transfers between warehouses and no pick routes — if you need those, you need a WMS. Below we compare it honestly with the inventory apps small warehouses look at, and say when a full WMS is the right choice.

Short answer: what fits your warehouse

  • One warehouse or stockroom, a few hundred to a few thousand barcoded items, a team of 1–10: Ofisx Inventory Management — barcode goods-in and goods-out on the phone, stock counts, low-stock alerts, movement history and per-employee permissions (staff accounts are Premium).
  • One person, one phone, no internet in the warehouse: Ofisx Offline Inventory — works 100% offline, free up to 100 items and 300 transactions.
  • A warehouse plus delivery vans: Ofisx — one main warehouse with separate stock for each vehicle (load and return; Premium).
  • Several warehouses, sales and purchase orders, an online store: Zoho Inventory or inFlow — order-based software with multiple locations.
  • Tools, equipment and supplies with photos, no sales: Sortly or BoxHero.
  • Bin addresses, pick routes, lot and expiry tracking, dozens of pickers: a full WMS (warehouse management system) or the warehouse module of an ERP.

The options in detail

Ofisx Inventory Management (online)

Goods-in: a purchase adds the delivered items to stock by barcode or by name and updates the purchase price; purchase returns are recorded separately, and each supplier has its own movement history and balance. Goods-out: sales are scanned and come off stock; a sales return goes back in. Receipts and invoices as PDF or on 58/80 mm thermal printers.

Stock count: on the “Stock Count” screen you scan items with the phone camera or a barcode scanner and see the counted quantity next to the recorded one; an item scanned that is not in stock is flagged, and “Apply count” writes the difference to stock. Each product has a minimum level and a low-stock alert, and a “Product Movements” screen shows every purchase, sale and return in date order — which is where you find where a loss started.

Staff: each employee can be given separate permissions for products, purchases, sales, returns, stock counting and reports, so a warehouse worker can see only counting and purchases (multi-user is Premium). Products can be imported from and exported to Excel, and data can be backed up to Google Drive as Excel. It runs in the cloud and needs internet.

Ofisx Offline Inventory

Works 100% offline on Android and iPhone without an account; data stays on the phone and is backed up to Google Drive or iCloud. Barcode sales and purchases, low-stock alerts, customer and supplier accounts and profit/tax reports.

No staff logins and no web version: it is for a single person on a single device. A subscription is not required — Pro is also sold as a one-time lifetime purchase.

Sortly

Cloud inventory with photos, folders and barcode/QR labels; paid plans raise item and user limits (on 9 October 2026 Advanced was listed at 500 items and 2 users).

Strong at showing what is where; it is not a sales or purchasing system.

Zoho Inventory

Order-based cloud inventory with sales and purchase orders, multiple locations and store integrations.

More setup than a stock app; the free plan is tight and barcode generation sits in a higher plan.

inFlow Inventory

Order-based inventory software with unlimited products on every plan; plans differ by number of team members (Lite 2, Core 5, Pro 10, Max 20). There is also a cheaper inFlow Stockroom plan for scanning-focused teams.

A good fit when purchasing and orders are the main work; for a single small stockroom it is usually more than needed.

BoxHero

Simple cloud inventory with barcode scanning; low-stock alerts, reporting and purchases/sales are in the Business plan. Extra members, items and locations are add-ons.

A full WMS (warehouse management system) or ERP warehouse module

A WMS gives every bin an address, tells pickers where to go, enforces lot and expiry (FEFO) rules, works with handheld terminals and usually connects to an ERP. It is installed as a project with training — worth it when several warehouses move goods between each other every day or when traceability is a legal requirement; usually too heavy for a single stockroom.

When do you need a WMS? Six questions

  1. How many warehouses — and do goods move between them? — If goods move between several warehouses every day, you need software that records transfers. A single warehouse (and the vans that leave from it) does not need that, and a phone app is enough.
  2. Do pickers need bin addresses? — If the same item sits in several bins and nobody can find it without an address, an addressed WMS pays off. In a stockroom with a few hundred shelves, putting the shelf code at the start of the product code (A03-…) usually works: sort the list by code and it is sorted by shelf.
  3. Lot and expiry tracking — Pharmaceuticals, food wholesale and anything with batch recalls need lot and expiry tracking. Small stock apps — Ofisx included — usually do not have these fields; check before you choose.
  4. How many people work in the warehouse? — For a team of 1–10, separate permissions (who counts, who sells, who sees reports) are enough. Dozens of pickers on shifts need task assignment, which is WMS territory.
  5. Setup time and budget — A WMS is a project: licence, handheld terminals, integration, training. A phone app is installed from the store the same day and starts from your Excel product list.
  6. Is the problem the software — or unrecorded movements? — In small warehouses most stock differences come from goods that leave without being recorded and from stock that is never counted. A routine of scanning every movement and counting once a month fixes more than a bigger system does.

What Ofisx does not do in the warehouse

  • No bin or location field — the shelf code goes into the product code.
  • No lot or serial number and no expiry date tracking.
  • One main warehouse (plus vehicle stock on Premium); no transfers between warehouses or branches.
  • No pick routes, wave picking or handheld-terminal task lists.
  • No integrations with e-commerce platforms or carriers; products are imported from Excel.
  • Ofisx Inventory Management needs internet. Ofisx Offline Inventory works without a connection, but on one phone, with no staff logins and no web version.

Frequently asked questions

What is the best warehouse management app for a small business?

For a business with one warehouse or stockroom and barcoded products, Ofisx Inventory Management: barcode goods-in and goods-out on the phone, stock counts with the camera or a barcode scanner, low-stock alerts, product movement history and per-employee permissions, on Android, iPhone and the web with one account; free to download and sign up. With no internet in the warehouse and one person, Ofisx Offline Inventory. If you need bin addresses, lot/expiry tracking or transfers between warehouses, choose a full WMS.

What is the difference between an inventory app and a WMS?

A WMS is built for multi-warehouse, high-volume logistics: bin addresses, pick routes, lot and expiry rules, handheld terminals and ERP integration. An inventory or warehouse app handles the four basic jobs of a single warehouse — goods-in, goods-out, counting and “what is running low” — from a phone, and is set up the same day.

Can I do a warehouse stock count with my phone?

Yes. In Ofisx Inventory Management the “Stock Count” screen lets you scan items with the phone camera or a barcode scanner, compares the counted quantity with the recorded stock and writes the difference with “Apply count”. An employee can be given the stock counting permission only (multi-user is Premium).

Does Ofisx track bin locations?

Not as a separate field. Put the shelf code in the product code (e.g. A03-…); sorted by code, the list is also sorted by shelf. If you need pick routes by bin address, you need a WMS.

Can I manage several warehouses in one app?

In Ofisx you have one main warehouse, and the stock of each delivery vehicle is tracked separately (Premium); there are no transfers between warehouses or branches. For several warehouses with transfers, look at order-based software such as Zoho Inventory or inFlow, or a WMS.

Is there a free warehouse inventory app?

Ofisx Inventory Management is free to download and sign up, with no card required; barcode goods-in and goods-out, stock counts, low-stock alerts, customer accounts and reports are in the free account. Staff accounts, multiple barcodes per product and vehicle stock are Premium. Ofisx Offline Inventory is free up to 100 items and 300 transactions. Sortly's free plan allows 100 unique items and 1 user; BoxHero's free plan 100 items and 1 member (checked 9 October 2026).
